Suspending, restoring and removing access

Take away someone’s access to your workspace, give it back when they return, or delete their sign-in for good. You need the System Admin . Everything here happens on the member list at Settings → Workspace → Members.

To cancel the sign-in of someone who is Staged or Invited, select Revoke access on their row and confirm with Revoke. Their row moves to Deactivated, and you can add them again later.

  1. On an Active member’s row, select Remove.
  2. Read what the dialog says, then confirm with Remove.

They’re signed out and can no longer sign in, and their password and are erased. Their row stays on the list, under Deactivated and with the role they held, so you can restore them later. Their employee record stays too, and the people directory shows them as Deactivated.

If they still hold work in a cycle, such as a not yet approved or a worksheet waiting on their approval, the dialog lists it under They are still holding: and says what to do with each item. The removal goes ahead either way, so hand that work to someone else.

The can’t be removed, and neither can you. To remove the owner’s access, have them transfer ownership first.

  1. Set Filter by state to Deactivated to find them.
  2. On their row, select Restore access, and confirm with Restore access.

They come back with the role they held. Removing them erased their password and two-step verification, and restoring doesn’t email them, so tell them to use Forgot password? on your workspace’s sign-in page to choose a new password. Members who sign in through can sign in straight away.

For someone who never signed in, there’s only the membership to restore. Tick Send welcome email now in the dialog to invite them again; leave it clear and they return as Staged, with their welcome held so a cycle launch does not email them.

A Deactivated member can be deleted. Select Delete permanently on their row, and confirm with Delete permanently.

Their sign-in is erased and can’t be restored. The keeps everything they did, still under their name, and their employee record stays: in the directory it then reads like a colleague who was never invited. The dialog also lists any work they still hold, as removal does.

If your workspace signs in through WCP Hub

Section titled “If your workspace signs in through WCP Hub”

Restore access works as above, with two differences: it sends no welcome email, and the person signs in through Hub as before, with the password and second factor Hub holds for them. Removing someone here doesn’t change their Hub account; people are added and removed in Hub. See Mitratech Comp on WCP Hub.
