Cycle status and notifications

Know what each person sees of a cycle, and what they are told as it moves. You need the System Admin or Total Rewards Admin to see every cycle; anyone who signs in has the notification bell.

Beside its phase, every cycle carries one of four statuses:

  • Draft — created and in setup, not yet launched.
  • Active — launched, and planning or approving.
  • Completed — .
  • Cancelled — stopped for good. See Cancelling a cycle.

Cycles groups every cycle by where it stands. In progress holds the active cycles, each as a card with its phase, its progress and how much of its merit budget is used. In setup holds the drafts, with Continue setup on each. Closed holds the finalized and cancelled cycles. A cycle’s badge, there and in its own header, names its phase, or reads Cancelled for a cancelled cycle. Up to three running cycles also appear as shortcuts beneath Cycles in the sidebar, followed by how many more are running.

A cycle in setup is visible only to System Admins and Total Rewards Admins. Nobody else finds it in a list or can open it, so you can configure it without anyone planning early. From launch, each manager finds their own worksheet in the cycle under Worksheets, and on Home as work to do. Only administrators see the ’s percentages.

A dot on the bell means something is unread. Open it to see each notification with its time and, where there is one, a Due date. Select a notification to open what it is about and mark it read; Load more reaches older ones. Notifications are kept for 90 days.

The bell fills as things happen, and it reads the latest from Mitratech Comp each time you open it, so a notification is never lost to a dropped connection.

Someone who has not yet signed in for the first time gets the notification on their bell, and no email. Advancing a cycle to Approval, and cancelling one, notify nobody.

A manager’s own notification — that planning is open, that a worksheet was returned, or that an approver adjusted a proposal — always carries the submit-by date: Planning’s end date, whichever phase the cycle has since reached. An approver’s notification carries the current phase’s own deadline instead.
