What changes after finalize

Know what happens once a cycle is finalized. You need the System Admin or Total Rewards Admin role for the cycle’s own pages; every manager in the cycle sees their own part. See Finalizing a cycle, and what locks.

Managers are told

Each manager with a worksheet in the cycle gets a notification that the cycle has been finalized: Final numbers are ready for your review. Selecting it opens their worksheet, now read-only. The same notice goes by email, except to someone who has not yet signed in for the first time — see Cycle status and notifications.

What everyone sees

• Cycles lists the cycle under Closed, and its page reads This cycle is closed.
• Nothing from the cycle stays under Needs you on Home, because there is no decision left to make.
• Every worksheet reads This cycle has been finalized, and its figures stay open to read.

Payroll and award letters open up

Two of the cycle’s tabs, greyed out until now, open:

• Payroll, to produce the file of approved pay changes for your payroll system — see Exporting the payroll file.
• Letters, to produce each employee’s letter — see Generating award letters.

Both are available only once a cycle is finalized, because they state pay changes that can no longer move.

The one setting still open

Email delivery, on the cycle’s Letters tab, is the only setting you can still change once the cycle is finalized. When it is on, a Total Rewards Admin or the employee’s manager can email an award letter; when it is off, letters reach employees only by download.
