Changing a cycle after launch
Adjust a cycle that is already running. You need the System Admin or Total Rewards Admin , and a launched cycle that is not or cancelled — see Launching a cycle.
Launch fixes most of a cycle, because managers are already planning against it. What stays open is below.
What you can change
Section titled “What you can change”- The . On the cycle’s Setup tab, select Edit on 3. Guidance, change its cells and select Save. While the cycle is planning or in approval, Send matrix to previews what the new guidance would touch, and Send matrix applies it to worksheets still in progress or returned — only to rows no one has set by hand, and without reopening any worksheet. On a cycle that plans ranges, it sends each untouched row its cell’s new low and high, and their midpoint, and leaves the manager’s merit percentage alone. It also skips every row whose guidance you overrode, and the preview counts them. See Building a merit matrix or pay guidance.
- Guidance overrides. The Guidance overrides table under the planning question on 3. Guidance stays open until the cycle is finalized or cancelled. On a cycle that plans ranges, setting an override moves the employee’s guidance range on their worksheet, whether or not the manager has entered a number, and their merit percentage is never changed. On any other cycle (Flat, or one that doesn’t plan ranges), setting an override moves the employee’s merit percentage on their worksheet to it when the worksheet is still in progress or returned and no one has entered a number on that row; the confirmation says when it did. Otherwise only the employee’s guide moves, and a manager’s own number is never overwritten. Clearing an override puts the computed guidance back the same way. See Building a merit matrix or pay guidance.
- The and the ’ limits. The Guardrails card in 3. Guidance and the Soft limit and Hard limit columns in 2. Budget stay open until the cycle is finalized or cancelled. Select Edit, change them and select Save. Before anything is saved, you are told what the change would do to the worksheets already in — see Changing guardrails and pool limits on a running cycle.
- and worksheet columns. Select Edit on 4. Worksheet, add a reason code or switch one off, or change the extra worksheet columns, then select Save. A code you switch off leaves the picker and stays on the proposals that already cite it.
- Who holds an approval step. A Total Rewards Admin can reassign any step but the last to someone else. See Monitoring budget and approvals.
- Who owns a worksheet. Transfer worksheet, in the ⋯ menu on a worksheet’s header, hands the whole worksheet to a new owner.
Every change to a cycle’s configuration is recorded on the .
Changing guardrails and pool limits on a running cycle
Section titled “Changing guardrails and pool limits on a running cycle”Managers are already planning against the limits, so a change can affect worksheets that are in. When you select Save on a running cycle, Mitratech Comp first works out what the change would do, and shows you before it writes anything:
- Sent back. A submitted worksheet that the new settings put past a or a hard pool limit, and that was not past one before, goes back to its manager.
- Flagged. An approved worksheet in that position stays approved and is flagged instead. A submitted or approved worksheet that now needs a reason code, a note or a pool note it did not need before is flagged too.
- Drafts. A worksheet still in progress is neither sent back nor flagged. It is judged at its next submit.
If the change would send a worksheet back or flag one, a confirmation names both counts — for example, 2 submitted worksheets go back to their managers — and Send 2 back and save is the only way to save. Keep editing saves nothing, and the section stays open on your changes. If the change would send nothing back and flag nothing, it saves at once with no question. Turning the guardrails off clears their flags and also saves at once.
The counts come from Mitratech Comp, not from the page, and the same judgement is made again when the change applies. The settings save first; the worksheets then go back to their managers moments later. Every change is on the audit trail.
Each manager whose worksheet goes back gets a notification and sees a Sent back by alert at the top of their worksheet, naming you, the date and the guardrail or pool and its new limit, for example The merit guardrail’s hard maximum is now 5%, and a row on your team is above it. The worksheet reads Returned. The alert goes away when the manager submits again.
Funding does not change after launch. The pool ticks, % of payroll and Fixed amount are switched off on 2. Budget, and only the limits take edits.
What launch fixed
Section titled “What launch fixed”These can no longer be changed once the cycle has launched:
- who is eligible — the and the ;
- the funding of each pool — which pools are funded, and by what % of payroll or fixed amount;
- the timeline and the ;
- the cycle’s currency and ;
- each employee’s , as it stood at launch.
On the Setup tab, 1. and 5. Schedule are marked Frozen at launch, and View opens each one read-only. 2. Budget is marked Funding frozen at launch: its funding is fixed, its limits are not, and it still opens with Edit. A person who becomes a participant after launch has no worksheet in the cycle. When one of these needs to be different, the cycle that corrects it is a new one.
Once a cycle closes
Section titled “Once a cycle closes”A finalized or cancelled cycle accepts no changes at all: its pages show no edit controls, and every Setup section opens read-only with View. See Cancelling a cycle.
